REGISTRATION PROCESS
1.SELECT YOUR PROGAMS – please visit the website to view all “Sports & Programs” details for the upcoming season (this includes weeknight, time, duration, location, & cost) : https://www.specialolympics.ab.ca/communities/edmonton
Please note: program details are subject to change prior to the program season. If there is a program that you are registered in that may undergo a new location, time, etc., you will be notified!
2. USE THE FOLLOWING LINK TO COMPLETE YOUR REGISTRATION – once you have chosen the programs you would like to participate in, please complete the registration form found here:

At this time, you may register for all of your Fall/Winter/Spring/Summer programs – we highly recommend registering in advance for Spring/Summer programs as they will fill up quickly.
3. PAYMENT - Upon completion of the registration form, an invoice will be prepared and sent to the primary email address submitted on the registration form starting August 11th, 2025. In the meantime, there is no further information required from you, if the office has additional questions regarding your registration, you will be contacted directly. Payment will not be accepted until you have received your official invoice. All payments must be directed to the office – coaches cannot accept payment on behalf of the athlete. Please ensure payment is made online via the invoice, or in person at the SOE office via cash/cheque/debit/credit.
4. PLAY – you will receive an email in the weeks prior to the program start with the Start Date information. This will include all details for the program season. Please ensure you are checking your junk mail during this time (as we have had emails go to recipients junk folders).
DEADLINE TO REGISTER FOR FALL/WINTER PROGAMS IS TUESDAY, SEPTEMBER 30TH, 2025 AT 11:59PM. LATE REGISTRATIONS WILL NOT BE ACCEPTED. Once this deadline has passed, a Spring/Summer registration will open up January 12th, 2026 at 12:00pm.
WATILIST PROGRAMS
Every program has a maximum capacity for athletes. This capacity is determined by two factors:
Volunteer numbers in the program
Facility space/occupancy
If a program is full, only a WAITLIST (program name) will be found on the “Select your Sports” section of the online registration form. If you are interested in the program, please join the waitlist – this will place you in a queue for when a spot does become available in the program.
Selecting a waitlist DOES NOT indicate that you are confirmed in the program – you will be notified directly with next steps if a spot does become available.
There will be no exceptions made – if a program is full, athletes will not be able to register for the program, only the waitlist. PLEASE PLAN AHEAD AND MAKE REGISTRATION A PRIORITY TO AVOID WAITLISTED PROGRAMS.
Athletes cannot pay for a program that they are waitlisted for.
Attendance will be taken at each program, and any athlete that has not been confirmed in the program will not be eligible to participate in the program.
For programs with waitlists: if an athlete is absent without notice for 2 or more consecutive practices, an email will be sent notifying the athlete of a “warning of Absence”. If absent for a 3rd time, a secondary email may be sent with potential removal from the program. No refund will be given due to unexplained absence.
REFUND/WITHDRAWAL POLICY
A full refund will be issued to any athlete who contacts the office to request a withdraw within 3 weeks of the programs first practice – this is known as a program withdrawal.
Within 3 Weeks of Program Start Date: Refund can be issued with written request via email.
3 Weeks – Mid-Point of Program Season: Credit can be placed on file with written request via email.
Following Mid-Point of Program Season: Requests will be issued on a case-by-case basis.

All requests for a refund must be done in writing (via email) in order to be honored and issued properly. Verbal requests will not be accepted.

Office hours are by appointment only. Please email one of our staff members to book an appointment if you require assistance with registration.
Registration is arguably the most important time in the Special Olympics calendar! We have many difficult conversations yearly with athletes and their supports due to late registrations – it is disappointing for all involved when we have to turn an athlete away due to full programs. As such, PLEASE PLAN AHEAD AND REGISTER AT YOUR EARLIEST CONVENIENCE!
As we receive MANY emails and phone calls - replies will be entered in a queue and wait times for response may be lengthy. Phone calls will only be responded to if a voicemail is left accordingly – please include contact information in your voicemail to ensure we have the appropriate channels to return your call.
